We are stoked that you are stepping out in faith as you answer God’s call to serve His Kingdom through the ministry efforts Ride Nature is leading. Below you’ll find a step by step process to onboard well. Our team is always available to answer questions and support you through this onboarding process.

In order to get your website page dialed in please
    • 1-2 Portrait (vertical) photos of yourself or your family (if applicable).

    • 1-2 Landscape (horizontal) photos of yourself or your family (if applicable).

    • 2-3 paragraph bio and call to action for your staff page on the website and support card (see example here).

    • Your estimated fundraising goal along with breakdown (see above staff page link).

    • Any prayer requests to share with supporters (see above staff page link).

    • YouTube channel link or videos you'd like to share.

    • Answer to these questions for you (and your wife) or feel free to get creative so share with us some random facts or information that you think people would like to know:

    The more information you can share and/or send the more helpful it will be for us to build out a page for you. Feel free to include links to YouTube videos, extra pictures, potentially links to your own personal website if you have one, etc.

One of the many resources we use at Ride Nature is the Google Drive. Once you have logged into your email you can begin using this and this will be the primary place where we would like for you to store and organize any ministry files you use. 

Log into your google account and create a FREE canva account, to make a copy of each of these tools we have provided below. Make sure to save the copy to your account to begin using both of these tools.

Becoming official and getting paid

All Ride Nature staff are required to download, complete, and submit the applicable payroll and employee onboarding documents listed above. For non-California employees you can ignore the (CA DE-4 Form). Please review each form carefully and ensure all required sections are filled out completely and accurately. Once completed, email all documents to accounting@ridenature.com for processing. Timely submission is important to ensure payroll setup, compliance, and any future reimbursements or compensation are not delayed.

If you have questions regarding which forms apply to you, please contact your immediate director before submitting.

PAYROLL

All staff will need to create and complete their Paychex account setup so payroll can be processed accurately and on time. This includes entering your personal details, tax information, direct deposit preferences, and reviewing any requested onboarding items.

We know everyone is deeply passionate about the mission—but we also know everyone would still like to get paid. Getting your Paychex account dialed in helps make sure both can happen smoothly.

PHASE 3

The ins and outs of some of the systems, processes, and tools we use

RAMP INFORMATION

Ramp is the credit card processor we use at Ride Nature. It wasn’t hard to decide to go with them…the name was very fitting. But in order to get a Ramp Ministry Credit Card, you do need to read through all of the training details and watch the training video below. For coding questions or concerns you can check with you immediate director.

Once you have reviewed all of the training resources, please email accounting@ridenature.com to request a ministry card.

  • If a personal expense is made in error using a staff Ramp card, the employee who made the purchase can repay the organization through the Ramp mobile app or website dashboard. Click here to see how to do so.

    Managers can also require an employee to repay the organization an expense in part or in full during the approval process if the expense was made by mistake, was outside of the organization's policy, or is over a previously approved amount.

  • All expenses require a receipt.

    If no receipt is possible because either the merchant could not supply it or it was misplaced, two persons (the employee making the purchase and a director) are required to sign off for transactions without receipts. “Sign off” indicates that the expense has been verified and approved as a legitimate ministry expense.

  • Employee credit cards are to be used for work/ministry-related expenses only. It is the responsibility of every staff member to follow the guidelines outlined by Ride Nature when using the credit card and to be accountable for each expense made.

    These requirements include:

    • Creating a profile on Ramp and including personal bank account information for the purpose of reimbursement to staff and repayment to Ride Nature.

    • Ensuring that every expense has all fields completed in the Ramp app (receipt, memo, accounting category, and accounting class) within 7 days of purchase. Any expense that does not have all of the above will cause the credit card to lock until required fields are either completed or approved for an exception.

    • Ensuring that each expense is coded correctly and has a detailed memo explaining the nature of the expense.

      • Example - Memo: “pizza for skate church” / Accounting Category: 6325 - Skate Ministry / Accounting Class: California

    • Submitting for any necessary discrepancies (accidental charge, disputed charge, request and exception, etc.)

    Employee credit cards will be issued to each approved employee by the executive director of the employee's headquarters through the Ramp website. It is the responsibility of each executive director to act as their team’s “manager” overseeing all expenses and ensuring that policies are upheld by their team.

    This includes but is not limited to:

    • Weekly approvals for all team member’s expenses - checking for errors on coding, and ensuring that expenses are appropriate and within budget and policy.

    • Following up with employees when there are errors or additional information needed on expenses.

    • Holding employee's to the standard and policy that the organization has set.

    • Denying expenses that are outside of the organization's policy.

  • All reimbursements should be made through the Ramp app or website dashboard and be approved by the employee’s manager. Upon approval, an ACH payment will be made to the employees bank account on file with Ramp.

    • All reimbursements are subject to approval.

    • All reimbursements require a receipt, memo explaining the nature of the expense, accounting category, and account class.

    • If the employee does not have a bank account on file, a physical check may be written or a cash payment may be made with approval of the executive director.

Monday is the project management tool we use at Ride Nature to help keep our teams organized, aligned, and moving forward with excellence.
